Rules for booking changes and cancellations

Manage rules for changing or canceling bookings, reminders, prepayments, and reservation amounts

Manage booking limits and reminders under Settings → Bookings.

Below is an overview of the available settings that allow you to control how guests can change or cancel bookings, as well as how and when reminders are sent.

Limit change of bookings – Restrict guests from making changes to their booking. Set the number of hours before the visit after which changes are no longer allowed.

Limit cancellation of bookings – Restrict guests from cancelling their booking. Set the number of hours before the visit after which cancellations are no longer allowed.

Enable reminders via email – Automatically send email reminders to guests and set the number of hours before the visit the reminder should be sent.

Enable payment reminders via email – Send email reminders if payment is required but not completed. Sent 1 hour before the payment deadline.

Enable reminders via SMS – Automatically send SMS reminders to guests before their visit.

Enable payment reminders via SMS – Send SMS reminders if payment is required but not completed. Sent 24 hours before the payment deadline.

Enable reservation amount – Configure reservation payment amount requirements for bookings:

  • Type: Fixed / Fixed per person / Percent

  • Amount: Fill in the desired reservation payment amount

  • Booking requires: Full payment / Reservation payment / Full payment or reservation payment

  • Enable grace period: Enable this to refund the reservation payment if the booking is canceled within the grace period.

  • Grace period ends: Set the duration of the grace period

These reservation amount settings apply generally to all bookings made through the booking form. If you want specific rules for individual packages, you can set them under each package on the Payment tab.

Note

The change of booking setting cannot be set to fewer hours than the cancellation setting. Otherwise, guests could change their booking to a later date and then cancel, bypassing the intended rules.

If you want stricter rules for cancellations or booking changes, you can set specific limits for each package under the General tab.
